Kids first: how we handle consent and youth data

Most of the people using a coaching app are under 18. That changes what we build, what we collect and what we refuse to collect.

On this page

A coach opens a team app and sees 13 names. Most of them are between 11 and 18. Each of those players has a parent who has not yet been asked about anything. That is the situation every youth sports app starts from, and it is easy to ignore it until a parent asks where their daughter's film is stored.

These are the rules we set at the start. They shape the product screens, not just the legal page.

A coach can add a player to the roster with a name and a number. No data about a player on your roster is shown or used until a parent or guardian agrees: notes about them, evaluations, player-facing messages and clips shared with players or parents. Game film can show opponents and non-consented players; that film stays staff-only. Until consent comes in, the player shows a visible "consent pending" state on the roster, so the coach knows what is and is not allowed.

We made the state visible on purpose. A hidden consent flag is one a busy coach forgets. A badge on the roster row is one that gets answered.

What we do not collect

  • No medical records. A coach may note availability, such as "out this week", and that is where it stops. No diagnoses, injury details or health history.
  • No ads. Not on the coach app, the player app or the parent app.
  • No selling or sharing of child data with advertisers.
  • No use of your film to train models unless you opt in.

Parents see their own child

A parent sees their own player and nobody else's. They do not get the roster's evaluations, other players' film clips or messages that are not for them. If a parent has two kids on two teams, they see both children, each with its own consent, and only that. Players and parents use the app free. The coach's plan covers the seat.

A parent should be able to answer "what do you know about my kid?" by opening one screen.

What a family sees

A parent gets an invite from the coach and opens a plain page that says which team, which child and which things they are agreeing to. If they decline film, their child stays on the roster and the coach can still schedule, message and assign plays. The player is not tagged in film, and the coach can hide them from player and parent views, so that film stays staff-only. Per-player blur is Coming 2027. Consent can be withdrawn later from the same screen, and the coach sees the change right away.

AI and minors

ClinIQ answers questions about your team's plays and film. It marks every claim with a source and asks the coach to approve before anything leaves the staff. A message to parents appears as an approval card first. It does not send itself. Film that includes minors is handled under the same consent rules as any other data about them.

What coaches have to do

Software cannot replace your school or league policy. Check three things before you upload game film of minors:

  1. Your school, club or league policy on recording games and sharing video.
  2. Whether every family has signed the consent in Hoops ClinIQ. The roster shows who has not.
  3. Who on your staff needs film access. Give it to the people who coach, not to everyone who asks.

What we have not finished

Consent flows are in preview for the coach, parent and player apps. We are still gathering feedback from design-partner programs on how the flow works for families who share a phone or do not read English as a first language. If it confuses your parents, we want to hear about it.

The binding details are in the privacy policy and the trust and safety page. If a claim in a blog post ever disagrees with those pages, the pages win, and we will fix the post. You can also ask us directly through the contact page.

Your next game plan starts with your own film.

We load your plays and tag one of your games by hand. Your staff and players use ClinIQ and quizzes for four weeks. Or start with the free play library: no account.
