1. Who we are
In plain words: Hoops ClinIQ makes coaching software. This page explains what we collect and why.
Hoops ClinIQ (we, us) provides a playbook, film and team-management service for basketball coaches, their staffs, players and families. This policy covers the Hoops ClinIQ website and the Hoops ClinIQ web app.
Questions about this policy go to privacy@hoopscliniq.com.
2. What we collect
In plain words: Account details, the plays and film you add, and basic usage data. We do not collect medical records.
Account data: name, email, role and the team you belong to. Content you add: plays, film, notes, messages, schedules and attendance. Usage data: pages and features used, device type and error reports.
Player data is limited to what a team needs: name, jersey number, position, availability and the content a coach adds. We do not collect medical records or diagnoses. Wellness and availability are limited to simple states a coach chooses.
3. Children and consent
In plain words: No data about a player on your roster is shown or used until a parent or guardian agrees. Game film can show opponents and non-consented players; that film stays staff-only.
A coach adds a player to a roster, and a parent or guardian is invited to give consent. Until consent is granted, no data about that player is shown or used, and game film they appear in stays staff-only: the coach can hide the player from player and parent views. Per-player blur is Coming 2027. A parent can withdraw consent at any time, and we then remove that player's data from the workspace and keep any film they appear in staff-only.
Players under 13 join through a verified parental consent step: the guardian signs a consent form and enters a one-time code (in the app preview). A $0.50 card check is Coming 2027.
A parent login shows only their own child's schedule, assigned plays and messages. We do not show advertising to anyone, and we do not use children's data for advertising or sell it.
Players who appear in film but are not on a roster, such as opponents, are visible to staff only, are not named, and are not tracked as individuals. They never appear in shared exports.
4. How we use data
In plain words: To run the service, keep it safe and improve it. Not to sell it and not to advertise.
We use data to provide the service, to answer ClinIQ questions with sources from your own plays and film, to send messages you ask us to send, to keep the service secure, and to fix bugs.
We do not use your film or plays to train AI models unless you turn that on. We do not sell personal data.
5. How the AI works with your data
In plain words: ClinIQ reads your plays and film to answer you. A person approves anything that leaves the staff.
When you ask ClinIQ a question or run an agent, relevant plays, clips and stats from your workspace are sent to our AI providers under terms that do not allow them to train on that content. Each action runs with the permissions of the person who started it.
AI output is a proposal. Messages, published plays and schedule changes wait for a person to approve them.
7. Keeping and deleting data
In plain words: You can export your data or ask us to delete it.
We keep data while an account is active. Coaches and families can export their data and ask for deletion. When a workspace is deleted, we remove its content from active systems and from backups on a rolling schedule.
8. Security
In plain words: Planned: encryption, tenant isolation, two-factor sign-in and an audit log.
Planned: encryption in transit and at rest, and each organization's data isolated in the database. We plan to offer two-factor authentication and keep an audit log for Program owners. No system is perfect; see the trust center for our current status and how to report a problem.
9. Your choices and rights
In plain words: Ask to see, fix, export or delete your data.
You can ask to access, correct, export or delete your personal information, and parents can do this for their child. Write to privacy@hoopscliniq.com. Depending on where you live, you may have additional rights under local law.
10. Changes to this policy
In plain words: We will tell you before material changes take effect.
If we change this policy in a material way, we will notify account owners by email and update the date at the top before the change takes effect.
Your next game plan starts with your own film.
We load your plays and tag one of your games by hand. Your staff and players use ClinIQ and quizzes for four weeks. Or start with the free play library: no account.
